Privacy Statement

At Soul Mustard Ltd, your privacy is important to us. We are committed to handling your personal information with care, respect and confidentiality. This statement explains what information is collected, why it is collected, how it is stored, and the circumstances in which it may be shared.

What Information Do We Collect and Why?

To provide safe, effective and professional hypnotherapy services, we may collect the following information:

Your Name and Age

This basic information helps us get to know you and tailor our approach to your individual needs.

Contact Details

This may include your address, email address and telephone number. We use these details to communicate with you regarding appointments, session information and any relevant follow-up. We will usually contact you using the method you initially used to reach us, unless an alternative method is necessary.

Emergency Contact and Healthcare Professional Details

Where appropriate, we may ask for the contact details of a next of kin or healthcare professional. This information would only be used if we have serious concerns about your safety or wellbeing. Wherever possible, we will discuss this with you before making any contact.

Session Notes

We keep brief, confidential notes of our sessions. These notes help us maintain continuity between appointments and support the quality of the therapeutic work we do together.

Will My Information Be Shared?

Your personal information will always be treated as confidential and will never be sold, shared for marketing purposes, or used in any way that is not directly connected to providing my services.

There are, however, a small number of circumstances where we may be legally or ethically required to share information:

  • If required by a court of law.

  • If there is a serious concern that you or another person may be at risk of harm.

  • As part of professional supervision, which helps ensure I provide the highest standard of care. In these circumstances, identifying information is removed wherever possible, and your confidentiality remains protected.

How Is My Information Stored?

Your information is stored securely using password-protected digital systems. In some cases, limited paper records may be used during the course of our work together.

Following completion of our work, any records are transferred to secure, password-protected storage. Contact details may be stored on our business mobile phone using your first name and surname initial.

Access to your information is restricted solely to Soul Mustard Ltd.

How Long Is My Information Kept?

In accordance with professional and insurance requirements, we retain client records and session notes for a period of five years after the completion of our work together.

Once this retention period has expired, all personal information will be securely deleted or destroyed, including digital records, paper documents and contact details stored on our business devices.
